Voice Dictation is a product offered by AscendX Innovations Pvt. Ltd. under the Profit Agentz brand. References to “Voice Dictation,” “we,” “our,” or “us” mean the operator of this platform and related desktop application.

This policy is written for customers, distributors, administrators, and visitors who use the Voice Dictation website, dashboards, licensing services, support channels, and desktop application.

We collect account information such as email address, password hash, role, account status, verification status, sign-in records, and password-change timestamps. We do not store plaintext passwords.

We collect licensing and device information needed to issue, validate, and protect licenses. This may include license type, license status, validity dates, device identifiers, device fingerprint hashes, public key material, activation dates, and trial status.

We collect transaction records needed for checkout, invoices, tax records, payment reconciliation, refunds, and fraud prevention. Payment processing is handled by payment providers, and we do not store full card or banking details on our servers.

We collect support information that you submit, including subject, message, status, account reference, and timestamps. If a distributor creates or manages customer records, we store the relationship needed to administer those customer accounts and licenses.

Voice Dictation is designed as a local-first desktop application. Speech recognition and text cleanup run on the user’s device after the application and models are installed.

Audio recordings are processed locally for dictation. The platform does not require audio recordings to be uploaded to our server for normal transcription. Dictation history is kept on the local device unless you separately choose to share text or diagnostic details through support.

The desktop app contacts the platform for account sign-in, license validation, trial checks, device activation, release information, and security-related account status. These checks do not require sending your raw voice recordings to us.

We use information to create and secure accounts, verify email addresses, reset passwords, authenticate users, provide dashboards, issue invoices, activate licenses, validate desktop access, and respond to support requests.

We use license, device, and payment records to prevent misuse, enforce one-device or plan-specific limits, administer distributor relationships, calculate partner entitlements under separate agreements, and maintain accurate business and tax records.

We may use aggregated or de-identified operational information to improve reliability, performance, security, and product design. We do not use local audio recordings for training hosted AI models.

We share information with service providers only as needed to operate the platform, such as database hosting, email delivery, payment processing, file storage, security, infrastructure, and customer support services.

Payment providers receive the information needed to process transactions and maintain payment records. Email providers receive email addresses and message content needed to deliver verification, reset, invoice, and account messages.

Distributors may receive or access limited customer and license information where they are responsible for onboarding, support, license assignment, or post-sale account management. Distributor access is scoped to the customers and orders connected to that distributor.

We may disclose information if required by law, to protect rights and safety, to investigate misuse, to enforce agreements, or in connection with a merger, acquisition, financing, restructuring, or sale of business assets.

The website and dashboards may use cookies or similar browser storage for authentication sessions, security, preferences, and reliable operation. You can control cookies through your browser, but disabling required cookies may prevent sign-in or dashboard use.

We use reasonable administrative, technical, and organizational safeguards designed to protect account, license, payment, and support information. These include hashed passwords, scoped access controls, expiring verification codes, and role-based dashboard access.

We keep personal information only as long as needed for the purposes described in this policy, including account operation, license validity, legal obligations, tax records, dispute resolution, fraud prevention, backup integrity, and enforcement of agreements.

No system is perfectly secure. Users are responsible for keeping account credentials confidential, maintaining device security, and promptly telling us if they believe their account or licensed device has been compromised.

Depending on your location, you may have rights to access, correct, delete, export, restrict, or object to certain processing of personal information. You may also have the right to withdraw consent where processing is based on consent.

You can update certain account details from the dashboard. For requests that cannot be completed in the dashboard, contact us through the platform support channel. We may need to verify your identity before completing a request.

Voice Dictation is intended for business and productivity use and is not directed to children. We do not knowingly collect personal information from children below the age required by applicable law.

If you use Voice Dictation from outside the country where our systems or service providers operate, your information may be processed in another jurisdiction. We take steps designed to protect information consistently with this policy and applicable law.

We may update this Privacy Policy as the product, business model, legal requirements, or service providers change. The updated version will be posted on this page with a new effective date. Material changes may also be communicated through the dashboard or email.
